Estimate Items

Items are the lines on your estimate: each piece of work and what it costs. When the estimate turns into a Project, each item becomes a Task.

  1. Open the estimate.
  2. Under Items & Services, click Add Item.
  3. Enter an Item Title and, if you like, a Description.
  4. Pick a Billing Type and fill in the details (below).
  5. Click Add Item.

To change an item, click the pencil icon next to it. The trash icon removes it. Drag items to change their order.

Once an estimate is accepted, its items are locked.

Type What you enter What your Client sees
Fixed Cost One amount for the item. The amount.
Hourly Rate Hourly Rate ($) and Estimated Hours. Hours × rate.
Recurring Interval Amount per period ($), a Cadence (Weekly, Monthly, Quarterly or Annually) and a Proposed start date. The amount per period, like $500 / month.

For Hourly Rate, leaving Estimated Hours at 0 bills as 1 hour.

Recurring Interval is for ongoing work like a monthly retainer or hosting. One period counts toward the estimate total.

Have a services list? Pick one under Assign Service (Optional) and its price fills in as the fixed cost.

On an Hourly Rate item, check Rate only (hide hours from client). Your Client sees only the rate, like Billed hourly @ $90.00/hr, with no hours or total.

Rate-only items don’t count toward the estimate total.

Want to offer extras your Client can choose? Check the Optional item box when you add the item. It says your Client can choose to add it.

  • Your Client sees it under Optional Add-Ons with an Optional badge and a checkbox.
  • It doesn’t count toward the estimate total.
  • Any add-ons your Client ticks when they accept become part of the job. You’ll see Client selected: with their picks under Total.

Any billing type can be optional.

Under Total you’ll see:

  • Budget: the budget you entered.
  • Items Total: everything that counts toward the total.
  • Optional add-ons (not in total): what the add-ons would add.
  • Taxes and the Estimated Total.
