Billing Expenses to Clients
Spent money on a Client’s behalf? Mark the expense Billable and it’s ready to go on their next Invoice, with a markup if you add one.
Make an Expense Billable
Section titled “Make an Expense Billable”When you add or edit an expense:
- Turn on Billable.
- Optional: enter a Markup Percentage (%).
- Save.
How Markup Works
Section titled “How Markup Works”Markup is added on top of what you paid. A $200 expense with a 10% markup is billed at $220.
On the Expenses page, billable expenses show their markup next to the amount, like (+10%). The Billable Total at the top includes markup.
Tax Paid isn’t part of what you bill. It’s only tracked for your Tax Summary.
Add Expenses to an Invoice
Section titled “Add Expenses to an Invoice”Billable expenses show up alongside your Tasks when you create an Invoice from a Project or for a Client.
- Start an Invoice, for example with Generate Invoice on a Project.
- In the list of things to bill, check the expenses you want. Each one shows its amount and markup, like $200.00 + 10% markup = $220.00.
- Create the Invoice.
Each expense becomes one line on the Invoice: its description, its category in brackets, and the marked-up amount, like Stock photos [Software] $220.00. Your Client sees the total, not the markup. See Creating an Invoice.
Once it’s on an Invoice, the expense is marked Invoiced and won’t be offered again.
Which Expenses Can Be Billed
Section titled “Which Expenses Can Be Billed”An expense shows up for billing when it’s:
- Billable
- Approved, not still pending approval or rejected
- On a Project for that Client
- Not already invoiced
