Getting Paid
Your Clients can pay straight from the Invoice link you send them. Connect Stripe or PayPal to take payments online. Add Zelle, Venmo or check details for Clients who’d rather pay another way.
Set Up Payment Methods
Section titled “Set Up Payment Methods”Go to Settings › Online Payment Gateways. Don’t see it? Ask your workspace owner for access.
Stripe: Cards and Bank Payments
Section titled “Stripe: Cards and Bank Payments”- In Stripe Connect, click Connect with Stripe.
- Sign in to Stripe, or create an account.
- Approve the connection. Stripe sends you back to hrglass.
- Under Payment methods accepted by clients, tick the ways Clients can pay:
- Enable credit card payments: faster, but higher fees.
- Enable ACH direct debit payments (USD): your Client pays from their bank account. It takes 3 to 5 business days to clear.
Keep at least one of these on. Money goes straight to your own Stripe account, so receipts and refunds come from your business, not hrglass.

hrglass doesn’t add any fees. Newer Stripe accounts may be capped at $2,000 USD per ACH payment. Contact Stripe to raise the limit. See Stripe’s pricing for details.
PayPal
Section titled “PayPal”- In PayPal, enter the email address you use for PayPal.
- Click Save PayPal email.
No developer account or API keys needed. Clients see a PayPal button on your Invoices, and the money goes straight to your PayPal account. PayPal charges about 3.49% + $0.49 per US transaction. hrglass doesn’t add any fees.
Zelle, Venmo and Checks
Section titled “Zelle, Venmo and Checks”- In Other Payment Methods, fill in any of these:
- Zelle: your Zelle email or phone number.
- Venmo: your Venmo username, like
@mybusiness. - Make Check Payable To: the name checks should be made out to.
- Click Save Payment Methods.
Clients see these as instructions. hrglass doesn’t process these payments.
Choose Payment Options for an Invoice
Section titled “Choose Payment Options for an Invoice”Every Invoice has a Client Payment Options card. Tick what your Client should see:
- Allow online payment (Stripe / PayPal, if enabled)
- Show Zelle info
- Show Venmo info
- Show check payment info
An option is greyed out until you set it up in Settings. Use its Connect Stripe or Configure in Settings link.
What Your Client Sees
Section titled “What Your Client Sees”When your Client opens the Invoice link, they see a Ready to Pay This Invoice? panel above the Invoice. Depending on your setup, it has:
- a Pay with Credit Card or ACH button that opens Stripe’s secure checkout
- a PayPal button
- your Zelle, Venmo and check details under Or pay using:
They can also Print the Invoice or Download PDF. Once it’s paid, the payment options go away and they see a Payment Received banner.
Record a Payment
Section titled “Record a Payment”Stripe and PayPal payments are recorded for you. The Invoice is marked Paid with the payment date.
Zelle, Venmo, check and other payments you record yourself:
- Open the Invoice.
- Change the status dropdown to Paid.
Send a Payment Confirmation
Section titled “Send a Payment Confirmation”A paid Invoice shows Payment received. Click Send Payment Confirmation to email your Client a thank-you. After that, the Invoice shows when and to whom you sent it, and the button changes to Resend Payment Confirmation.
Follow Up on Late Payments
Section titled “Follow Up on Late Payments”When an Invoice passes its due date, it’s marked Overdue.
Send a Late Notice
Section titled “Send a Late Notice”- Open the overdue Invoice.
- Under Payment is past due, click Send Late Notice.
hrglass emails your Client your Payment Late Notice template. To change the wording, go to Settings › Email Center.
Turn On Auto-Reminders
Section titled “Turn On Auto-Reminders”Workspace owners can have hrglass chase overdue Invoices for them:
- Go to Settings › Invoice Settings › Auto-Reminders.
- Turn on Enable auto-reminders.
- Under Reminder schedule, pick when each reminder goes out, from 1 day after due to 90 days after due.
- Click a reminder’s tone to switch between Friendly, Firm and Urgent.
- Click Add reminder step to add more reminders, up to 5.
- Optional: turn on Flag as delinquent after final reminder to mark the Invoice for manual follow-up after the last reminder.
- Click Save Reminder Settings.
The default schedule is Friendly after 1 day, Firm after 7 and Urgent after 30. Each reminder goes out once per Invoice. Reminders stop when the Invoice is paid.
Refunds
Section titled “Refunds”- Issue the refund in your Stripe Dashboard.
- In hrglass, go to the Invoices list.
- Open the Invoice’s actions menu and click Sync refund.
The Invoice changes to Partially Refunded or Refunded, and the amount collected is updated.
Disconnect Stripe or PayPal
Section titled “Disconnect Stripe or PayPal”In Settings › Online Payment Gateways, click Disconnect on the Stripe or PayPal card. Clients can’t pay through it anymore, but your past payment records stay. You can reconnect any time.
