Task Billing Types
Every Task has a billing type. It decides what the Task costs your Client and what lands on the Invoice. Time you track always counts toward your hours. The billing type decides whether it turns into money.
You set it under Billing Information when you create or edit a Task. New Tasks start as Fixed Cost.
Fixed Cost
Section titled “Fixed Cost”One set price for the whole Task, no matter how long it takes.
- Click Fixed Cost.
- Enter the amount in Fixed Cost ($).
On the Invoice: one line with the Task name and (Fixed Cost). Time you track on the Task doesn’t change the price.
Want to bill a deposit now and the rest later? When you pick the Task for an Invoice, change the Bill: amount. hrglass shows how much is left, and the next Invoice can bill the rest.
Use it for flat-rate work like a logo, a website build or a setup fee.
Use a Service
Section titled “Use a Service”Have a services list with set prices? Pick one under Assign Service (Optional). The billing type switches to Fixed Cost and the price fills in for you. You can’t change either while a service is assigned. Pick none to change them again.
Hourly Rate
Section titled “Hourly Rate”You bill for every hour you track.
- Click Hourly Rate.
- Enter the Hourly Rate ($). It has to be more than 0.
If the person assigned to the Task has a default hourly rate, it fills in for you.
On the Invoice: one line with the Task name, the hours and the rate, like Homepage design (4.5 hours @ $90.00/hr). Each Invoice only picks up time that hasn’t been billed yet, so you can bill the same Task every month without double-charging.
Non-Billable
Section titled “Non-Billable”No charge. You still track time for your own records.
- Click Non-Billable.
On the Invoice: nothing. Time on a Non-Billable Task never reaches an Invoice.
Use it for internal work, admin, or a favor you don’t want to bill. On the Timer page, its entries are marked Non-billable.
Other Rate
Section titled “Other Rate”Hourly billing with a multiplier on top. You still bill for every hour you track, but at your base rate times a multiplier, like 1.5x for Overtime or 2x for Rush.
- Click Other Rate.
- Pick a Rate Multiplier.
- Enter the Base Hourly Rate ($).
hrglass shows the Effective rate per hour under the base rate.
On the Invoice: one line with the hours, the base rate and the multiplier, like Server migration (3 hrs @ $90.00/hr × 1.50 Overtime). Just like Hourly Rate, each Invoice only picks up time that hasn’t been billed yet.
Estimated Total
Section titled “Estimated Total”As you fill in the billing details, hrglass shows the Estimated Total for the Task. For Hourly Rate and Other Rate Tasks, it’s based on the time you log with Log time now. Non-Billable Tasks don’t show one.
Tasks That Need Billing
Section titled “Tasks That Need Billing”On a Team plan, a member who can’t see financial data can still create Tasks. Those Tasks are saved with no billing type.
If you’re the workspace owner, you’ll see a Needs billing badge on them. Open the Task, choose a billing type and click Save Changes. Until you do, the Task can’t be invoiced.
Change a Task’s Billing Type
Section titled “Change a Task’s Billing Type”- Open the Task and go to Billing Information.
- Pick a different billing type and fill in the new details.
- Click Save Changes.
You can only do this until the Task has been invoiced. See below.
Once a Task Has Been Invoiced
Section titled “Once a Task Has Been Invoiced”After any of a Task’s time or cost is on an Invoice, its billing is locked. You’ll see This task has been invoiced. Its billing rate can’t be changed. and the billing fields are greyed out. This keeps your Invoices and your records in sync.
If you delete the Invoice and the Task isn’t on any other Invoice, it unlocks again.
Need to bill the rest at a different rate? Create a new Task with the new billing type.
