Running the Import

Got your Harvest files? Let’s bring them in. Not sure which files you need? See Before You Import first.

  1. Go to Settings › Import Data.
  2. Read the Before you start checklist.
  3. Under What do you want to bring over?, tick each part you want, or tick Select all.

Clients & contacts is always included. Parts that another part needs are ticked for you and marked Required.

The wizard then shows a numbered tab for each part, like 1. Clients & contacts and 2. Projects & tasks. You work through them in order. A check mark shows up on each tab once it’s imported.

For every part:

  1. Upload the files. Click Choose CSV for each file. hrglass checks the file is the right Harvest export and tells you how many rows it found.
  2. Check the columns. hrglass matches your file’s columns to hrglass fields automatically. Fix anything that looks wrong. If a required field isn’t matched, you’ll see Still needed and what’s missing.
  3. Click Preview what will happen.
  4. Review before importing. See every row and what will happen to it (below).
  5. Click the Import button, like Import clients & contacts.

Nothing is saved until you click Import. Your choices in the review are saved as you go, so you can leave and come back.

Each row shows any Match in hrglass and a choice under What should happen:

Choice What it does
Create new Adds it to hrglass.
Link Connects it to the matching record already in hrglass instead of making a copy.
Exclude Leaves it out.

Above the list, hrglass shows how many rows are ready and any that need attention, with the line number in your file.

hrglass tells you how it’s reading your file: the Decimal mark (like 2,475.50 or 2 475,50) and the Date order (month first or day first). If they’re wrong, change them and preview again.

If amounts look way off, you’ll see These numbers don’t look right with examples from your file. Usually the decimal mark was read wrong. Fix it and preview again. If the numbers really are right, tick the box confirming you’ve checked them against your file, then import.

When your files include people, like on time entries and expenses, you’ll see Who is who. It lists every person in your Harvest files, what they appear on, and the team member their work will be recorded against.

  • hrglass picks an exact name match for you.
  • Anyone it can’t place goes to the workspace owner, so no hours or costs are lost.
  • Change anyone using the dropdown.

On the time entries step, Attribute unmatched people to the workspace owner is on to start. Turn it off to skip those entries instead. hrglass lists what it skipped.

Projects & tasks: upload your Projects file and your Time report. If you didn’t pick Time entries at the start, hrglass shows how many entries are in the file and offers Also import these time entries.

Time entries: big files import in batches. If it stops partway, you’ll see that the import isn’t finished. Come back and continue it.

Invoices: add the optional Invoice line items file for line-by-line detail. Without your projects, invoices import against their client only.

If you upload a file you’ve already imported, hrglass warns you with You may have imported this file before.

You’ll see a summary of each part: how many records were created and how many were matched to ones you already had. From there, you can jump to your imported invoices to check them.

Skipped something? The summary shows Want to bring more over? Click Import more from Harvest to pick up where you left off. Your clients and contacts stay as they are, and everything new attaches to them. Parts you’ve already brought over show Already imported.

Only one person can work on an import at a time. If another owner or admin has it open, you’ll see Someone else is working on this import. Click Take over to continue it yourself.

If a step can’t finish, hrglass shows what went wrong. Click Copy details and send them to us so we can help.
