Custom Statuses

Every workspace starts with two statuses for Projects and two for Tasks. Add your own to match how you actually work, like Waiting on Client or In Review.

Owners and Admins can manage statuses. Admins need the Workspace settings permission, which they have by default.

Go to Settings › Custom Statuses. Project statuses are on one card and Task statuses on the other.

Shortcut: open any status menu on a Project or Task and click Add / Edit Statuses at the bottom.

Starting status Done status
Projects New Completed
Tasks To Do Completed

You can rename and recolor these, but you can’t delete or move them. They always come first and last.

To change one:

  1. Click it under Default Project Statuses or Default Task Statuses.
  2. Type a new name. It saves when you click away or press Enter.
  3. Click a color to change it. Click + to pick any color you want.
  1. Under Add Custom Project Status or Add Custom Task Status, type a name.
  2. Pick a color. Click + for a custom color.
  3. Click Add.

You can have up to 10 custom statuses for Projects and 10 for Tasks.

  1. Click the pencil icon next to the status.
  2. Change the name, the color or both.
  3. Click Save?.

Drag a custom status by its handle to move it up or down. Your custom statuses always sit between the starting status and Completed.

The order shows up everywhere you pick a status, and in views that group by status, like the Kanban view for Projects.

  1. Click the X next to a custom status.
  2. Click Continue.

If any Projects or Tasks use that status, hrglass asks where to move them:

  1. Pick a status from Select a replacement status….
  2. Click Re-assign & Delete.

This includes archived and deleted items that still use the status. Deleting a status can’t be undone.
