Billable vs. Non-Billable Time

You don’t mark time as billable entry by entry. The Task decides. Every minute you track on a Task follows that Task’s billing type.

Task billing type Is the time billable? What reaches the Invoice
Hourly Rate Yes Your hours times the rate.
Other Rate Yes Your hours times the rate and multiplier.
Fixed Cost Yes The fixed price. Your hours don’t change it.
Non-Billable No Nothing.

For the full breakdown, see Task Billing Types.

  • Timer page: entries on a Non-Billable Task are marked Non-billable.
  • Start timer: the Task list shows Hourly, Fixed or Non-billable next to each Task. Other Rate Tasks show as Hourly, since they’re billed by the hour too.
  • Reports: the Time Tracking card splits Total Hours into Billable Hours and Non-Billable.
  • Weekly timesheets (Team plans): each entry shows Billable or Non-billable.

Logged time to the wrong kind of Task? Move the entry to a Non-Billable Task.

  1. Go to Timer.
  2. Click the edit icon next to the entry.
  3. Click Edit Project or Task.
  4. Pick the Project and a Non-Billable Task.
  5. Click Save Changes.

To make all the time on a Task non-billable, change the Task’s billing type instead. See Task Billing Types.

When you create an Invoice, hrglass picks up billable time that:

  • is on an Hourly Rate or Other Rate Task
  • hasn’t been billed on another Invoice yet
  • isn’t still running

A running Timer isn’t included. Stop it first, then create the Invoice.

Once time is on an Invoice, it’s locked. You can still edit its notes, but not the hours, date or Task. See Adding Time Manually and Editing Entries.

If your team submits weekly timesheets, you can still bill time that hasn’t been approved yet. hrglass flags it with a note like Includes 6.50 unapproved hours so you know before you send. See Approving Timesheets.
