Deleted Items

Deleting something in hrglass doesn’t erase it right away. It goes to Deleted Items. Most items stay there for 30 days, then they’re gone for good. Anything tied to billing or a document you sent is kept. See Items hrglass Keeps.

To open it, click your photo at the top right and choose Deleted Items.

  • Projects
  • Tasks
  • Clients
  • Contacts
  • Estimates
  • Invoices
  • Retainers
  • Services
  • Contracts
  • To-Dos

Items are grouped by type, newest first. Each one shows when it was deleted and a status:

Status What it means
Restore by a date, with days left It’s removed after that date. Restore it before then if you want it back. The status turns red in the last 7 days.
Restore now It’s about to be removed. Restore it now if you want it back.
Not yet Something inside it was deleted recently, so it waits for that item. It shows its own Restore by date.
Kept: and a reason hrglass keeps it. It isn’t removed automatically.

To find something fast, type in Search deleted items… or pick a type from the menu next to it.

Click Restore next to it. It goes back where it was.

To restore several at once:

  1. Check the box next to each item. To grab a whole group, check the box next to its heading, like Projects.
  2. Click Restore in the bar above the list.

A Retainer comes back with the same status, credit and billing history it had. If its Client or Project is also deleted, restore that first.

If you’ve already given another Invoice the same number, the restore won’t go through. Change the number on the other Invoice first, then try again.

  1. Click Delete Permanently next to the item.
  2. Click Delete Permanently again to confirm.

This can’t be undone. To clear out several items, check them and click Delete Permanently in the bar above the list.

Some items are tied to money or to something your Client already saw. hrglass keeps these so your records stay complete. They show Kept: and the reason, like:

  • Sent, paid or accepted document
  • Billed or on an invoice
  • Retainer billing history
  • Linked to a recurring invoice
  • Has expenses or credits
  • In an approved or submitted timesheet
  • Client has sent documents or estimates
  • Contract on an accepted estimate
  • Contains items that are kept or still in use

You can still restore a kept item. You can’t delete it for good, and it isn’t removed after 30 days. Delete Permanently is greyed out next to it.
