Fixing Import Problems

Most import problems come down to the wrong file in the wrong place, or a few rows hrglass can’t place. Here’s how to sort each one out.

hrglass checks every file before reading it. If it’s not right for that slot, you’ll see a message under Choose CSV.

Message What to do
This looks like your Projects export, not your Clients export (or similar) You put it in the wrong slot. Upload it in the slot it names.
You already used this file in the … slot Each slot needs its own Harvest export. Upload the right file here.
This looks like your Harvest Estimates export, which this wizard does not import hrglass can’t import Estimates, Payments, Team/People or Uninvoiced reports. Export the report the slot asks for.
This doesn’t look like a … export The file is missing columns that export always has, or has ones it never has. Export it again from Harvest. See Before You Import for where to find each one.
That file has no header row The first row of a Harvest export lists the column names. Export the file again straight from Harvest.
That file is … MB or That file has … rows It’s too big. Export it again with a shorter date range.

hrglass remembers every time entries, expenses and invoices file you import. Upload one with exactly the same contents again and you’ll see You may have imported this file before, with the date you imported it.

Importing it again creates a second copy of every row. Unless you’ve undone the earlier import, upload a different file or skip that part.

In Review before importing, each part shows how many rows are ready and how many need attention. Click the line to open the list. Each issue shows the line number in your file and what’s wrong.

Rows that need attention are skipped. Everything else still imports. If you need them, fix them in your CSV and run the wizard again.

Rows From Projects That Aren’t in Your Projects Export

Section titled “Rows From Projects That Aren’t in Your Projects Export”

This is the most common one. These rows almost always come from projects you archived in Harvest. Harvest’s time report still includes their hours, but archived projects are left out of the projects export, so there’s nothing to attach them to.

To bring them over:

  1. Un-archive those projects in Harvest.
  2. Export your projects again.
  3. Run the wizard again.

If amounts look 10 or 100 times too big, hrglass read the decimal mark wrong. You’ll usually see These numbers don’t look right before you import.

  1. Find the notice that says how numbers and dates in the file are read.
  2. Change the Decimal mark or Date order.
  3. Click Preview what will happen again.

Already imported with the wrong format? Undo the import, fix your settings, and import again.

Notice What it means
Add your Time report to link invoices to projects Harvest’s invoice export doesn’t say which project an invoice is for. Add the Time report so hrglass can suggest one. Without it, invoices import against their client only.
No projects to link to yet Import your projects first if you want invoices to show on project pages and in per-project revenue.
No due date column in this file Each invoice’s due date is set to its issue date. Paid history is unaffected.
Some line totals don’t match their invoice The lines import exactly as they are in your file, and each invoice keeps its own total, tax and payments. Check the flagged invoices after importing.

Big time files import in batches. If it stops, you’ll see This import is part-way through with how many entries are already in. Click Continue importing time entries. Entries already brought over are skipped, so nothing is doubled.
