Recurring Expenses

Pay for the same thing every month? Hosting, software, a coworking desk? Set it up once as a recurring expense. hrglass adds a new copy on every repeat date.

  1. Go to Expenses and click Add Expense.
  2. Fill it in like any other expense. See Adding an Expense.
  3. Turn on Recurring Expense.
  4. Pick a Frequency: Daily, Weekly, Bi-weekly, Monthly, Quarterly or Yearly.
  5. Pick an End Date if it should stop. Leave it blank to keep going.
  6. Click Add Expense.

The expense you just added is the first one. hrglass counts the schedule from its Date. A monthly expense dated March 15 repeats on April 15, May 15 and so on.

The recurring expense shows a Recurring badge on the Expenses page.

On each repeat date, hrglass adds a new expense with the same Project, category, description, amount, tax paid, billable setting and markup. Mileage details carry over too.

Notes and receipts don’t carry over. Attach this month’s receipt to the new copy yourself.

Each copy is its own expense. You can edit, bill or delete it without touching the rest.

Open a copy and you’ll see Created from a recurring expense. Click Edit recurring schedule to jump to the original.

On a Pro plan, copies are Approved right away. On a Team plan, copies follow your approval rules, the same as if the person who set it up added each one. See Adding an Expense.

All changes happen on the original expense. Open it from the Expenses page, or click Edit recurring schedule on a copy.

  • Change the details, like the amount. New copies use the new details. Copies already added stay as they are.
  • Change the frequency or end date. The schedule updates from here on.
  • Stop it. Turn off Recurring Expense and save. No more copies are added.

Deleting the original also stops it. Copies already added stay.

When a schedule reaches its end date, its copies show The recurring series for this expense has ended.
