Customizing Invoice Templates

A template controls how your Invoices look: colors, logo, which sections show and where they sit. Every workspace starts with one called Default Template. Edit it, or make more for different kinds of clients.

  1. Go to Settings.
  2. Click Invoice Settings.
  3. Scroll to Invoice Templates.

Your default template has a star next to its name.

  1. Click Create Template.
  2. Enter a Template Name.
  3. Set up the design. See the sections below.
  4. Optional: tick Make default invoice template.
  5. Click Save Template.

The Live Preview on the right updates as you go.

To change an existing template, click its edit button, make your changes and click Update Template.

  • Company Name starts as your business name from Settings › Business Information. Type a different name to use it on this template only.
  • Company Logo: upload an image. If you don’t, the template uses the logo from Business Information. Click Remove to take a template logo off.

See Naming Your Workspace and Adding Your Business Details.

Under Color theme, pick a preset like Black & White, Dusty blue, Deep teal or Terracotta. Or click Custom and choose your own Dark shade and Accent shade.

Then choose a Mode:

  • Light: a white page with dark text. The table header and total bar use your dark shade.
  • Light with Invert ticked: still a white page, but the text and fills switch to your accent shade for a brighter look.
  • Dark: the whole page uses your dark shade, with white text. Invert doesn’t apply.

Your Invoice is built from sections: Invoice title, Business logo, Business information, Bill to, Invoice numbers & dates, Line items, Totals, Notes and Footer.

For each section you can:

  • Reorder it: drag the handle on the left.
  • Hide or show it: click the eye icon.
  • Set its width: half or full width. Two half-width sections sit side by side.
  • Align it: left, center or right.
  • Pick a Font size: from Extra Small to 3X Large.
  • Add Spacing: extra room above or below, in pixels.

A few sections have extra options:

  • Invoice title and Footer: change the text, like Invoice or Thank you for your business!
  • Invoice numbers & dates: show them stacked or in one line.
  • Line items and Totals: have a fixed layout, so width and alignment don’t apply.

Notes only show on an Invoice that has notes. Business logo only shows if there’s a logo.

New Invoices use your default template. To change it, click the star button next to a template.

  1. Open the Invoice.
  2. Under Invoice Details, pick a template in Invoice Template.
  3. Save the Invoice.

Default Template in this list means “whatever my default is.” Invoices set to it switch over when you change your default.

  • Default Template, the one every workspace starts with, can’t be deleted. Click its restore button to reset its name and design to the original. Your default choice doesn’t change.
  • Any other template: click the trash button. If it’s your default, pick a Replacement default first. You can undo for a few seconds after deleting.
